Documents and Evidence for a Dutch Energy Label

You do not need any documents to request an energy label. You do need them if you want improvements that cannot be seen during the visit to count in the result.

Anything that cannot be seen during the inspection and cannot be evidenced must be entered with prescribed default values. Those defaults are deliberately cautious: an insulated wall without paperwork is treated as if it were barely insulated. Good evidence can therefore lead to a better and more accurate label.

What counts as evidence

Invoices for insulation that state the material and the thickness, and which part of the home was insulated

Photographs taken during the work, before the insulation was covered up, with an overview and details

Drawings of the house, an extension, dormer or loft conversion, ideally with construction details

Product details of glazing and window frames

Installation documents for a boiler, heat pump, ventilation system, solar water heater or solar panels (make, type, capacity)

For an apartment: documents held by the owners' association (VvE) about the roof, facades or shared installations

What does not count

A quotation, an intention or a design drawing is not proof that the work was carried out that way. A verbal statement does not replace evidence when a feature cannot be seen. The document must relate recognisably to this property and to the building part concerned. The adviser must be able to justify every value used and may not resolve doubt with a favourable assumption.

Why the adviser may ask for more

Dutch energy labels are drawn up within the BRL 9500 quality scheme, and part of the registered labels are checked afterwards. A careful adviser will sometimes ask for extra documents or be unable to accept an insulation value you expected. That is not reluctance; it is the mandatory quality assurance, and it protects the validity of your label.

How to send documents

Send what you have digitally before the visit, by e-mail or WhatsApp. The adviser can then assess in advance whether the information is clear enough and ask for anything missing. Documents that only arrive after the visit may need to be reassessed, which can delay registration.

If you have nothing

That is not a problem for making a request. The inspection still goes ahead and default values apply where evidence is missing. If you are about to insulate or renovate, take photographs during the work; it is the cheapest way to secure a better label later.
